This essential role provides high-quality, high-touch administrative support to Financial Advisors, their prospective and existing clients, and other branch staff team members.

Key obligations and roles:

  • Undertakes a significant number of daily interactions by handling simple inquiries and organizing meetings with potential and current clients through phone calls, in-person interactions, online channels, and postal communications.
  • Delivers important support to Financial Advisors and team members in branch offices, showing adaptability to work independently or collaboratively.
  • Conducts the necessary financial transactions for clients and accurately records advisor/branch expenses while ensuring exceptional organizational standards.
  • Initiates the setup of fresh client profiles and examines both client and security data through internal databases and other technological means.
  • Verifies that client paperwork and documentation adhere to the firm's and industry standards before being submitted, and then confirms their accuracy. Afterwards, ensures that all necessary documents are properly filled out and submitted on time.
  • Creates written materials such as letters, paperwork, and analyses to facilitate client maintenance and acquisition.
  • Compiles brief synopses of business summaries and tailored reports for advisor assessment.
  • Manages the creation and upkeep of records and documents by implementing Client Relationship Management (CRM) software.
  • Assists financial advisors in marketing by coordinating seminars and events tailored to client interaction.
  • Is empowered to place orders at the behest of the Financial Advisor.
  • Participates in training sessions, cross-training programs, and professional development opportunities to stay informed about firm and industry policies.
  • Undertakes other responsibilities as designated.

Knowledge Of:

  • The design, policies, aim, and methods of an organization.

  • Principles, methodologies, and practices governing investments within the securities industry.

  • Client Relationship Management (CRM) software is designed for managing interactions and relationships with customers, while contact management software serves a similar purpose in handling communication contacts.
  • Excel is a popular tool utilized for spreadsheet development and generating reports to present data in an organized and visually appealing manner.
  • Effectively conveying messages through various channels such as in-person interactions, virtual platforms, phone calls, and written communication.
  • Utilizing regular office equipment and required software applications.
  • Evaluating and probing account information.
  • Dealing with a range of responsibilities that have shifting priorities in a fast-paced scenario.
  • Spotting time-critical matters and determining the hierarchy of competing demands.

Description of educational qualifications and professional history:

A high school diploma or its equivalent is a prerequisite. Individuals with one or more years of experience in the securities industry or a related area are preferred. Alternatively, a combination of experience, education, and/or training approved by HR is acceptable.
