Job Title: Client Service Associate

This essential role provides high-quality, high-touch administrative support to Financial Advisors, their prospective and existing clients, and other branch staff team members.

The ideal candidate will have effective communication skills across multiple platforms (phone, email, in-person, virtual), as well as the ability to organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced, task-oriented work environment. Essential Duties and Responsibilities:

  • Services a high volume of daily interactions, including basic inquiries and scheduling of meetings, with prospective and existing clients via phone, in-person, virtually, and through mailings.
  • Works independently and within a dynamic team environment to provide crucial support to Financial Advisors and branch office staff.
  • Processes client financial transactions and advisor/branch expenses and expense reports with high organization and accuracy.
  • Opens new client accounts and researches client and security information using internal databases and other technologies.
  • Ensures client paperwork and documentation are accurate and compliant with firm and industry requirements prior to submission; follows up to ensure completion.
  • Prepares letters, forms, and reports to assist with servicing existing clients and prospecting new clients.
  • Prepares business summary reports and client-specific reports for advisor review.
  • Creates and maintains records and files using Client Relationship Management (CRM) software.
  • Assists Financial Advisors with marketing efforts, including seminars and client-facing events.
  • May enter orders at the direction of the Financial Advisor.
  • Participates in training, cross-training, and professional development opportunities to stay current with firm and industry policies.
  • Performs other duties as assigned.

Knowledge Of:

  • Company structure, policies, mission, and strategies.
  • General office practices, procedures, and methods.
  • Investment concepts, practices, and procedures within the securities industry.
  • Financial markets, products, and industry regulations.

Skills In:

  • Client Relationship Management (CRM) or similar contact management software.
  • Microsoft Excel, including spreadsheet creation and reporting.
  • Effective communication across in-person, virtual, phone, and written platforms.
  • Operating standard office equipment and required software applications.
  • Analyzing and researching account information.
  • Managing multiple tasks with changing priorities in a fast-paced environment.
  • Identifying time-sensitive issues and prioritizing competing demands.
  • Proactive follow-up to ensure completion and resolution of errors or concerns.
  • Handling stressful situations while maintaining professionalism and excellent customer service.
  • Problem-solving and establishing solutions efficiently.
  • Using mathematics to process account and transaction information.
  • Communicating effectively across all organizational levels.
  • Working independently and collaboratively as part of a team.

Ability To:

  • Work independently and as part of a cohesive team.
  • Provide a consistently high level of customer service.

Education and Previous Experience:

High School Diploma or equivalent required. One (1) or more years of securities industry or related experience preferred, or an equivalent combination of experience, education, and/or training as approved by Human Resources.
